How we handle information submitted through our sourcing and freight enquiry channels.
1. Who we are
This website is operated by Shenzhen YunLink Tech Trading Co., Ltd. under the YunLink business brand ("we", "us" or "our"), a company based in Shenzhen, China. For applicable data-protection laws, this is the organisation responsible for deciding how enquiry information is used.
Privacy contact: maidyn1688@gmail.com
2. Information we collect
We collect information that you choose to provide when asking about sourcing, supplier coordination, inspection, consolidation or freight services. Depending on the request, this may include:
- your name, business email address and optional WhatsApp number;
- product name, quantity, specifications, reference links, target market and destination;
- sourcing stage, requested support, sample or inspection requirements and expected order timing;
- optional reference images, PDF documents, cargo attributes and notes submitted with your enquiry; attachments are stored with the enquiry and can be downloaded through the authenticated administration area;
- freight details such as pickup city, supplier count, product category, cargo-ready date, carton information, dimensions, weight, Incoterm and preferred shipping method;
- the page from which you sent the request, an available same-site referring path and limited security metadata, such as the country associated with the request IP; and
- communications you send to us and the information needed to respond.
Our hosting and security infrastructure may also process technical request metadata needed to deliver the site, prevent abuse and keep the administration area secure. We do not ask for more information than is reasonably needed to review a request.
Please do not submit payment-card details, passport or government-ID numbers, supplier login credentials or other sensitive information through the enquiry form.
3. How we use information
We use enquiry information to:
- understand your sourcing or freight requirements;
- review whether a requested service is within scope;
- prepare and send a response, estimate or quotation;
- coordinate requested supplier, inspection, consolidation, documentation or freight steps;
- communicate about an enquiry, project or agreed service; and
- prevent abuse, protect the site and meet legal or accounting obligations.
We do not sell enquiry information. We use it for the purposes described in this policy and for compatible operational purposes that you would reasonably expect.
4. Legal bases
The applicable legal basis depends on where you are located and the context of the request. Where applicable, we rely on taking steps at your request before entering a contract, performing a contract, complying with a legal obligation, protecting the site and our legitimate business interests, or your consent where consent is required. Where processing is based on consent, you may withdraw it by contacting us; withdrawal does not affect processing that occurred before withdrawal.
5. Who may receive information
We limit access to people and service providers who need the information for the purposes above. This may include:
- our authorised team members and administrators;
- our hosting provider, which operates the server storing enquiry records and optional attachments; and
- suppliers, inspectors, carriers, customs brokers, warehouses or other service partners when sharing relevant project details is necessary to provide a service you requested.
If the optional SEO/GEO audit is enabled for the internal administrator, the audit sends public page evidence to OpenAI for analysis. It does not send enquiry form records or administrator passwords to that service.
We may also disclose information where required by law, to protect rights and safety, or to establish, exercise or defend legal claims. We do not authorise service providers to use enquiry information for their own unrelated marketing.
6. International processing
YunLink is based in China. Our hosting provider, Google and, if enabled, OpenAI may process information in countries other than the one where you are located. We will use appropriate contractual, technical or legal safeguards where required for the applicable market. The specific service-provider setup should be reviewed whenever the deployment or audit configuration changes.
7. How long we keep information
Our retention schedule is to keep enquiry records for up to 24 months after the last substantive contact, unless a longer period is required for a contract, legal, accounting, fraud-prevention or dispute-resolution purpose, then delete or anonymise them where practical. Cloud hosting or security logs may follow the provider's own documented retention periods. We may keep limited information for longer where necessary to comply with law, maintain accounting records, prevent fraud, resolve disputes or enforce an agreement.
8. Security
We use access controls, authenticated administration, input validation and reasonable technical and organisational safeguards designed to protect enquiry information. No internet transmission or storage system can be guaranteed to be completely secure. Please use the form only for information needed to evaluate your request.
9. Cookies, analytics and anti-abuse tools
The public site uses Google Analytics to measure page visits, service selections and confirmed enquiry submissions. Our custom enquiry events contain only the event name and service type, not the submitted contact details, product descriptions or attachments. The enquiry endpoint uses first-party validation, a hidden anti-spam field and server-side rate limiting. Rate limiting may use request-network metadata to prevent abuse.
The internal administrator uses one essential first-party session cookie named sb_admin. It is HttpOnly, normally Secure, SameSite=Strict and expires after the administrator session ends. It is used only to keep an authorised administrator signed in; it is not used for advertising or visitor profiling. If we add analytics, advertising, third-party verification or other non-essential cookies, we will update this policy and provide any consent controls required for the markets we serve.
10. Your rights
Subject to applicable law and reasonable verification, you may ask us to access, correct, delete or provide a copy of your personal information. Depending on your location, you may also have rights to withdraw consent, object to or restrict certain processing, or complain to a relevant data-protection authority. Contact us using the privacy contact above and describe the request and the email address used for the enquiry. We will not ask you to send passwords or identity documents through the public form.
11. Children
Our services are intended for businesses and adults. We do not knowingly collect information from children. If you believe a child has submitted information, contact us so we can review and delete it where appropriate.
12. Changes to this policy
We may update this policy when our services, systems or legal obligations change. The effective date at the top of this page shows when the current version took effect. If a change materially affects how we use information, we will provide a more prominent notice where required.
